Position Overview & Primary Objectives:

This is an entry-level position within the field of Project Management. This position is ideal for individuals who have recently graduated and are interested in starting a career in IT Project Management.  A successful candidate must be able to maintain processes within tight deadlines, be capable of capturing and organizing complex details as they are presented and have excellent written and interpersonal communications skills.

 

This position is primarily responsible for completing the day to day project management tasks that are essential for the smooth operation of Yahara Software development efforts. This role will work directly with the project managers and business analysists on the projects to which they are assigned and will provide them, and our software development teams with critical organizational, information gathering and procedural support. At times the project coordinator will interact with the project sponsor and technical team including the technical lead, developers and release team.

 

General Job Functions:

 

  • Under the direction of the Project Manager (PM), maintaining the project schedule and providing detailed variance reports to the PM and sponsor as requested.
  • Maintaining project accounting reports, including hourly burn vs. budget and prepare summaries of key information for PM and sponsor as needed.
  • Taking concise and accurate meeting notes during all client meetings, documenting important actions and decisions and providing curated notes to participants promptly after the meeting concludes.
  • Maintaining project documentation within the knowledge management structures ensuring that all documentation is correctly collected, stored, and disseminated.
  • Under the direction of the project manager, creating and editing drafts of work orders, change requests and other project agreements.
  • Assisting the PM in ensuring that all follow up actions assigned to Yahara stakeholders are tracked and completed.
  • Setting up and following through on testing activities such as script writing, internal testing, bug-fixing and client testing.
  • Assisting the PM and Business Analyst (BA) in preparing necessary presentation materials and documentation in preparation of project meetings and activities.
  • Managing the scheduling of client and internal meetings, and arrange any pre-requisites to ensure that meetings run smoothly (appropriate tech, communication, whiteboard, post its, lunch, etc.)
  • Assisting the BA in organizing and collecting business requirements, writing or editing stories as needed.
  • Maintaining the Jira board for projects under the direction of the BA and PM.
  • Maintaining and monitoring project plans, project schedules, work hours, budgets and expenses.
  • Assisting the PM in documenting project risks and mitigation strategies.
  • Facilitating internal team meetings as needed.
  • Reviews project team time entries for accuracy, professionalism, and appropriate allocation to the tasks.

 

Project Coordinator Requirements:

  • Bachelor’s degree in a relevant field such as business, IT project management, technical writing, and life sciences, or similar experience.
  • A history of academic and professional success.
  • Demonstrated ability to communicate effectively verbally, as well as through written word and formal presentations.
  • Strong organizational skills with the ability to conduct research, take and sort data/meeting notes, and swiftly process data across different platforms.
  • Demonstrated interpersonal, collaborative, and relationship-building skills.
  • Experience using computers for a variety of tasks including competency in Microsoft applications including Word, Excel, and Outlook.
  • Proficient in the use of technologies such as Zoom, Slack and Skype for remote professional communications.
  • Proven analytical and organizational skills, attention to detail and experience working in a collaborative environment.
  • Understanding of knowledge management activities including adherence to organizational conventions for file naming, filing in the correct location and maintaining updates.
  • Ability to manage and complete responsibilities across multiple projects and escalate tasks when competing priorities interfere with delivery.
  • Demonstrated ability to exercise good judgement in prioritization and communication with minimal direct guidance.
  • Ability to quickly learn, follow, and support existing processes and able to recommend improvements if process gaps exist.
  • Ability to consistently produce formal project related reports/documentation accurately and on-time.

Business Analyst - Laboratory Systems

Position Overview:

Yahara is a company that provides custom software solutions for clients in the Life Sciences, Transportation and Education domain. The Laboratory Systems Business Analyst is a key role in the identification of solutions for clients by collaborating closely with an array of cross functional business and technical teams internally and externally to develop, consult, document, release and enhance a value-add product for clients within Yahara Software’s Life Sciences domain.

The Laboratory Systems Business Analyst will serve as an intermediary between IT project teams and business partners to design novel systems, integrations between existing products or non-software solutions. This role serves as the stakeholder and user advocate to understand the client’s business and technical needs and represent their interests to work with the IT/ software development team. This role will be hands-on and require strategic reason, consulting skills and planning to ensure the intended solution’s requirements are met. Strong written and verbal skills are required as well as exceptional interpersonal skills to interview, consult, reflect, and build trust with the client. A background in a laboratory setting is required.

Essential Responsibilities:

A successful candidate should have solid understanding of functional areas within a laboratory such as bench work, specimen processing, laboratory information management (LIMS) and quality assurance. In addition, a successful candidate should have experience supporting scalable business processes and laboratory information systems for business groups in higher education (Life Sciences or related fields), strong communication skills with technical and business colleagues and leaders, knowledge of business analysis, testing and laboratory principles and the capacity to learn advanced systems, technology, and technical environments in order to apply them to optimize laboratory systems processes and improve business efficiencies.

  • Analyzing complex laboratory business problems and assessing how automated systems can be leveraged to help solve them.
  • Formulating and defining the stakeholders’ objectives into a recommendation of potential solutions.
  • Researching the client’s industry. Understand what regulations and government oversight may apply and consider that when designing solutions.
  • Conducting requirements-gathering sessions with numerous stakeholders for what the future-state solution should provide.
  • Converting requirements into stories in support of development activities such as estimating, development and testing.
  • Tracking requirement delivery through story creation, development, testing and sign off to ensure client receives all promised functionality.
  • Consulting with Yahara’s technical team to understand which stories have architectural dependencies. Working with the technical lead to document dependencies as tasks and execute these prerequisites prior to dependent stories.
  • Identifying project risks and escalating to project manager from the product development point of view.
  • Consulting with the client stakeholders and folding them in Yahara’s development processes such as sprint planning, demonstrations, and product delivery.
  • Working as liaison between Yahara and its clients to gather testing feedback, prioritizing bug fixes, and negotiating acceptance from the client.

Required Qualifications:

  • Direct working experience and background in a laboratory setting is required.
  • Bachelor’s degree in science, business or technical fields is required or master’s degree or higher education majoring in Life Sciences or related field is highly preferred.
  • Experience working with CRM, Laboratory Information Management System (LIMS) or related software.
  • Competence applying the Microsoft suite applications such as Word, Excel, PowerPoint and Outlook to complete a variety of task and project coordination and correspondence.
  • Experience using project management tracking systems such as JIRA or similar CRM.
  • Ability to create mockups, prototypes and diagrams using Jusinmind, Microsoft Visio, Adobe or similar applications.
  • Ability to understand and communicate effectively with subject matter experts and professionals working in laboratories.
  • Detail oriented with the ability to work independently, problem solve and drive to solutions.
  • Demonstrated high degree of initiative and ownership; proactively works to resolve issues.
  • Demonstrated ability to build trust and create lasting relationships. Must have experience working on a team.
  • Demonstrated ability to escalate and work through roadblocks.
  • Ability to learn new technology to converse professionally with technology experts (i.e., software developers, IT project teams).
  • Interested in developing their technical skills and capacity to learn technical systems, concepts and environments quickly.

The Yahara HR Generalist (HRG) works primarily from our offices in Middleton, WI to perform a full range of general and complex assignments, working collaboratively with management, consultants, and staff to administer HR policies, procedures, and processes.   • Conducts salary range research- job market rates based on positions. Collaborates with Resource Managers to develop and review job descriptions, career paths, and performance review processes.  Assists in reviewing and administering performance evaluations.
  • Maintains and updates employment records, personnel files & HRIS system related to hiring, transferring, promoting, and terminating, training and development, etc. 
  • Collaborates with and advises the managers, supervisors and employees in the interpretation and application of HR rules, policies and procedures
    and state and federal laws related to professional development and training, classification, compensation, benefits, disability management, management rights and responsibilities, performance management and recognition, and equal employment opportunity regulations.
  • Partners with Recruitment Team to support recruitment efforts.  Schedules and coordinates interviews and meetings as needed.
  • Participates in DEI initiatives.
  • Reviews and analyzes technologies applicable to the work and implements recommendations regarding effective use of integrated systems.

Qualifications: Required Skills/Abilities- 

  • 1-3 years’ experience in cross-functional Human Resources.
  • Direct work experience supporting HR administration and benefit enrollment, employee relations, LOA programs
  • Knowledge of employee benefits and applicable laws (FMLA).
  • Experience with HRIS and 3rd party benefit management and enrollment systems/platforms.
  • Proficient with Microsoft Office Suite or similar software.
  • Associate’s degree in HR or related field, but experience and/or other training/ HR related certification may be substituted for the education/degree. (i.e., SHRM, PHR). 
  • Excellent written and verbal communication skills.
  • Excellent organizational, documentation and time management skills.

Position Overview:
We have an exciting opening for an experienced full-time Software Developer to join our innovative software development team in Madison, Wisconsin!
